About Us

New Beginnings  is a leading nonprofit organization  that provides psychological counseling and housing assistance services to the homeless and veterans, as well as low-income individuals and families throughout Santa Barbara County. Through our Counseling Center, the Safe Parking Shelter and Rapid Rehousing Program, the Supportive Services for Veteran Families Program, and the Life Skills Parenting and Education Program, we serve approximately 2,000 people each year.

Job Description:

We are seeking a highly organized and proactive Executive Assistant to support our Executive Director. The ideal candidate will be experienced in handling a wide range of administrative and executive support-related tasks and will be able to work independently with little or no supervision. This person must be exceedingly well-organized, flexible, and enjoy the administrative challenges of supporting a nonprofit executive director. This is an in-person position in our Santa Barbara office.

Schedule:

  • Full-time
  • Monday to Friday

Responsibilities:

  • Manage and maintain the Executive Director’s schedule, appointments, and travel arrangements.
  • Coordinate meetings, including scheduling, agendas, logistics, and materials preparation.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Handle incoming and outgoing communications on behalf of the Executive Director.
  • Assist in the preparation of reports, meeting minutes, and financial data.
  • Maintain accurate records and files, both electronic and physical, ensuring confidentiality.
  • Conduct research and compile data to prepare documents and presentations as needed.
  • Act as the point of contact between the Executive Director and internal/external stakeholders.
  • Assist in fundraising activities and event planning, including logistics and coordination.
  • Perform other administrative duties and special projects as assigned.

Requirements:

  • Proven experience as an executive assistant or similar administrative role, preferably supporting senior-level executives or nonprofit leadership.
  • Strong organizational and time management skills with the ability to prioritize tasks.
  • Excellent written and verbal communication skills.
  • Proficiency in MS Office (Word, Excel, Outlook, PowerPoint) and other office management software.
  • Attention to detail and problem-solving skills.
  • Discretion and confidentiality in handling sensitive information.
  • Knowledge of nonprofit operations and familiarity with fundraising processes is a plus.
  • Bachelor’s degree in Business Administration, Nonprofit Management, or a related field is preferred.
  • Must have own working transportation with liability insurance to conduct job-related travel.
  • Must satisfactorily pass the company’s background, DMV and reference check.
  • Must meet insurance carrier’s requirements for approval to drive.

  • Competitive salary commensurate with experience. Starting salary range is $60,000 – $70,000 annually, DOE.
